Appointments

The Appointment works in the same way as when creating an Appointment in Outlook. The huge benefit is because Mercury is connected to the Office 365 suite, it will automatically sync into your Outlook calendar.

When creating a new Appointment, it will always default to the name of the person running the workflow but can be amended, if this is being actioned on behalf of someone else.

The Appointment will also go out as a calendar invite to your contact. This action is run from their name being in the Required field.



If you do not wish to send an invite to your contact, delete their name out of the Required field.

It will still link the appointment to the contact directly on the Timeline, as their name will still be in the Regarding field, at the bottom of the appointment.

Alternatively, if you wish to send the invite to multiple contacts, add their names into the Required field.

If the time or date needs amending or the Appointment is cancelled, we recommend the action being run from Mercury as it will cancel the appointment in Outlook. If it is cancelled through Outlook, this will not cancel the Appointment in Mercury. This will need to be actioned separately.

NOTE: Running this action does not create a Teams link for the meeting. Either go into your Appointment in Outlook and add one in, or when originally creating the Appointment, do this from Outlook and sync it back into Mercury using the Dynamics App in Outlook.

Tasks

Tasks created will go into your task list on Outlook.

As with the Appointments, we recommend 'Completing' or 'Cancelling' Tasks from within Mercury.

Other Activities

There are ways to sync other activity types with your Outlook. This can be done by your IT team. Please speak to your Customer Success Manager or our Support Desk, for more information.
